Common Copier Lease Questions2

Common Copier Lease QuestionsDealing with copier leases over the last 10 years, there are questions that often come up and a few that should come up a bit more often.  I want to address these questions in this post.

Can I Get a Service Plan if I Choose to Purchase a Copier?

Yes!  You can get the same service plan if you lease or if you purchase a copier.  It is like leasing or buying a car.  The idea is that a lease makes it so you can use the vehicle.  Buying the car means you are more committed to the long term partnership with the car.  We do the same supplies and service plan if you lease or buy.

What is the Difference Between $1 Out and FMV Copier Lease?

A $1 Out copier lease means you make all your payments and at the end you pay $1 and own the copier.  This could also be called lease to own.  The FMV (Fair Market Value) lease is a lease where you can own it at the end, but it is based on fair market value.  Instead of $1, it may be $2500.  FMV leases are cheaper per month, but you are responsible to return the copier at the end of the lease term.  The $1 is more expensive, but you get to keep the copier at the end of the lease.

Should I Lease a Copier?  Isn’t that what Everyone Does?

We can’t say if you should lease or purchase.  We sell and lease copiers.  To us, it doesn’t matter.  The deciding factor is cash flow.  If you are cash rich, buying the copier will probably make more sense.  There are accounting reasons to look at leasing vs purchase too.  Operational expenses, tax stuff, all that goodness your accountant is paid for.

I Want a $1500 copier, what is the Lease Payment?

We normally would not suggest a lease when a copier is this cheap.  By the time you pay the paperwork fees and have to insure the copier on your business policy, it could be well over 20% interest rates.  Our generally suggested amount to start thinking about a copier lease is $3000.

If I Lease, I Can Upgrade Whenever I Want?

Kind of – there is a catch though.  Say you leased a copier for 5 years and at 4.5 years, you decide it is time to upgrade, the copier company rolls the last 6 payments into the new copier.  This doesn’t work as well if you are at year 1 year and 3 months.   Then at that point you have 3 and 9 months making the rollover not feasible.

Are Supplies and Service Included?

Maybe.  When doing a copier lease, we can add some cost in to cover maintenance and a certain number of prints to keep the monthly costs the same.  Each client is different.  We can give you an included base, or you can pay for what you use.  Either way, we are happy to work with you.  The advantage to the plan is lower cost per page.  The advantage to no plan is if you take a month off, you aren’t paying for unused copies.

How are Copier Lease Payments Calculated?

The copier company uses something called the Lease Rate Factor to give you copier leasing prices.  What happens is you take the purchase price of the copier (say $10,000 to make the math easy…)  You multiply that number by the Lease Factor to come up with a monthly payment.  First we would ask, do you want to own the copier at the end or ship it back.  If you want to own it, we use the $1 Out Rates.  If you want to send the copier back, we use the FMV rates.

Now we would make the copier lease cost $10,001 to get the better rate than $9,999 – Say you wanted to own the copier at the end,  and wanted a 5 year lease –

$10,001 * $.0208 = $208.02

(Had we used $9,999 it would have been – $9999 * .0212 = $211.97

By charging $2 more, we can save you almost $250.  Sounds weird, but it is playing the game.

If you wanted to return the copier at the end, it would be about $185 per month.  $10,001 * .0185

This one was not very close.  The gap between the #1 copier, the Xerox VersaLink C405N and the number 2 copier, the Canon imageRUNNER ADVANCE C356iF was about 2 to 1.  So the Xerox Versalink C4o5 is by far the market leader in this class.  Now we are here to help you get the right copier, not just the most popular copier.

Here are some of the things to consider when purchasing a letter/legal color copier for your business.

The first thing to consider is the print costs, especially in this class.  If you were to go with the Xerox Versalink C405 and do 10,000 color page a month, you would pay roughly $400 per month just in print costs than if you went into the A3 copier class with something like a Xerox Altalink C8030 which is more expensive up front… but the $400 per month you would save in print costs would have the TCO at breakeven at about 15 months.  For those who plan to run their copier for 60 months or more, this matters.

However, if you are only printing 200 color pages a month, it becomes a no brainer to get a solid copier like the Xerox VersaLink C405N  or the Xerox VersaLink C505.  We work with you to help you determine which copier makes the most sense for your business.

Will I be happy with all of these?

The short answer is no.  Not because the brands are terrible or because the copiers other than the Xerox VersaLink C405N are lemons.  The idea is the copier performs as well as the servicing dealer helps it perform.  It is very likely most of the copiers, when purchased from a reputable dealer, will actually work just fine for you.  So our focus is not to say why the other brands won’t work – they probably will.  Our focus is to let you know why working with us is a good idea for your business.

What this list of copiers should tell you is there are A LOT of players in the market.  It is also why when you are trying to get copier quotes, why the reps are so aggressive.  This is a brutally competitive market where most dealers can only sell one or two of the brands above.  So if a client is out getting a lot of quotes. it makes it very competitive.

Why are there so many copiers?

Now what is interesting is the top 5 copiers are more than double the number of units than the bottom of the group, and the gap between 1-5 and the last copier on the list here is almost 8 times the number of units sold.  Now we don’t sell the Ricoh MP C4504SP or the Konica Minolta bizhub C458 which are the two most popular copiers in the category.  However, we are able to sell #3, #4 and #7 in the category.  What we see is Xerox tends to spread their success to multiple models where Ricoh and Konica focus more on particular units.

Who cares about what the sticker says, if the copier does the job?

We kind of agree with the basic premise of this question.  Your satisfaction as a buyer will very likely not hinge on the fact you bought a Xerox AltaLink C8055 instead of a Konica Minolta bizhub C558.  Copiers have all come so far in recent years and are almost all high quality and easy to use.  The bigger issues center around ease of getting supplies, getting service, setting up the copier correctly and getting your staff trained.

We have talked to so many people who have bought a copier like the Toshiba e-STUDIO 4515AC and they think the copier is bad because they have trouble scanning to the correct folder on their network or the IP seems to change on the copier.  This is not a problem with the copier, this is a problem with the setup.  Had the copier been setup correctly, the client would have been happy with the Toshiba e-STUDIO 4515AC.
